About the Role
Essity Canada is looking for an experienced Office Administrator and Executive Assistant who will provide high-level support to Management Team member/s and the organization & function by facilitating information flow, preparing executive-level communications, and coordinating projects, events and meetings. They will ensure smooth and efficient operations while fostering collaboration across departments.
The ideal candidate should/could live in Oakville, Ontario, Canada.

What You Will Do
- Research, compile, and analyze information for the executive’s use in reports, presentations and communications, ensuring accuracy and relevance.
- Draft, edit, and proofread a wide variety of material (e.g. correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) with attention to detail and timeliness, using modern productivity tools
- Maintain and update internal communication platforms, such as intranets, team collaboration tools, promoting transparency and engagement.
- Support functional projects, as directed by Manager, contributing to organizational initiatives and enhancing ways of working within the function.
- Manage incoming correspondence and inquiries, ensuring confidentiality, prioritization and efficient handling of sensitive information
- Organize and oversee logistics for internal and external meetings, workshops, and conferences. Take detailed meeting minutes, track action items, and ensure follow-through on commitments. Arrange virtual and in-person meeting facilities, ensuring the use of collaboration tools.
- Efficiently manage Managers calendar, balancing competing priorities and ensuring optimal time management
- Lead / Collaborate in the planning and preparation of sales conference, trainings and special projects or office meetings
- Provide general office administration support
- Manage front Reception desk by answering phone lines, receiving and sending courier as required

Who You Are
- 3+ years of strong functional skills with proven relevant working with Senior Management
- College Diploma or University Degree
- Excellent verbal and written English and French skills preferred
- Excellent MS Office skills is a must
- Experience within project management (planning, overseeing and implementing) is an advantage
- Strong organizational skills and ability to structure own work independently and reliably
